How Torvana handles your and your shop's information.
Last updated September 16, 2026.
Torvana (Torvana, we, us) makes profit and performance management software for auto repair shops. We are based in Wilmington, North Carolina, USA.
This policy explains how Torvana handles personal data on our website, in the Torvana app, in the emails we send, and when you contact us. You means the shop that uses Torvana and the people it invites: owners, managers, service advisors, and technicians. Tekmetric is the shop management system Torvana reads from.
Our Terms of Service govern the use of the service. This policy is part of them.
Torvana is a business tool. The shop connects its Tekmetric account and decides who gets a login. For data about a shop's team, the shop is the controller. Torvana processes it on the shop's behalf, under our agreement with the shop. If you work at a shop that uses Torvana and have a question about your data, ask your shop first. We help the shop answer.
For the account details of the people who use Torvana, for usage data, and for our website, Torvana decides how the data is handled.
We do not sell personal data. We do not share it for targeted advertising. We do not use your data to train AI models, and neither do our AI providers.
Torvana's AI features use models from third-party providers, currently OpenAI and Anthropic, through their APIs. For each insight, document, note, or Torvana Coach answer, Torvana sends the provider only the numbers and context that answer needs. It never sends your password or the keys that connect Torvana to Tekmetric. Their API terms exclude customer data from model training.
AI outputs are for your information and can be wrong. Torvana shows them at the permission level of the person asking. Torvana Coach cannot change your data or record coaching by itself, and it never surfaces the body of a coaching document.
We share personal data only with the service providers that run the service for us, and only what each one needs. They act on our instructions and are bound by contract to protect your data. They fall into these categories: hosting and infrastructure, database and authentication, AI model providers, scheduled jobs, email delivery, product analytics, error monitoring, business email and documents, and payment processing when billing launches. Torvana will not store card numbers.
We keep a current list of the service providers we use and will give it to you on request. We will tell shops before we add a new one.
We may also share data when the law requires it, to protect Torvana or our customers, with our professional advisers, or in a sale or merger of our business. We never share one shop's numbers with another shop.
Tekmetric is your own account. Its privacy policy covers what Tekmetric does with your data.
Torvana stores and processes your data in the United States. If you use Torvana from elsewhere, your data is transferred to and handled there.
We protect your data with technical and organisational measures appropriate to the risk. Each shop's data is isolated from every other shop's. Data is encrypted in transit and at rest. Inside a shop, every role sees only what it should. Access for Torvana staff is limited to what is needed to run and support the service, and we back your data up.
If we find a security incident affecting your data, we will tell the shop's owners without undue delay.
If you think a login has been compromised, or you find a security problem, email support@torvana.ai right away.
We keep your data while your account is active. Removing a person's login takes away their access, but the numbers they produced stay in your shop's history, and coaching records keep their name. Torvana Coach conversations are kept for 30 days, or until you delete them.
If you disconnect Tekmetric or close your account, you can ask us to remove or de-identify your shop's data. We will do it within 30 days, except for records we must keep for legal or accounting reasons. Copies in routine backups roll off on our normal schedule. Before that, you can ask us for a copy of your data. The Terms of Service say how.
If you run a shop. Owners and managers control who has access. Owners can disconnect Tekmetric at any time. To export, correct, or delete your shop's data, or to close the account, email support@torvana.ai.
If you work at a shop. You can see your own numbers and goals in the app. To access, correct, or delete your data, ask your shop. If you ask us, we will tell your shop and help it respond.
Email. The Monday review, password resets, and account notices are part of the service, and go to the people whose role receives them. We do not send marketing email.
US state privacy rights. Depending on where you live, state law may give you the right to access, correct, delete, or get a copy of your personal data, and to opt out of the sale of personal data, of sharing it for targeted advertising, and of some kinds of profiling. Torvana does not sell personal data and does not share it for targeted advertising, so a browser opt-out signal such as Global Privacy Control has nothing to switch off. Torvana's rankings and drafts inform a manager, who makes every decision. To use any of these rights, email support@torvana.ai. We will confirm who you are, respond within the time the law allows, and never treat you differently for asking. If we deny a request, we will say why and how to appeal. Someone you authorize can ask for you.
The Torvana app uses cookies to keep you signed in and to remember your preferences. These are needed for the app to work. The app also uses a product analytics service to see which pages and features are used, which sets its own cookies and browser storage.
Our website uses privacy-preserving analytics that set no cookies and record no personal data. The website uses no advertising cookies.
You can block or delete cookies in your browser. If you block the app's cookies, you cannot stay signed in.
Torvana is a business tool, sold to shops and used by their staff. It is not directed at children and we do not knowingly collect their data. Where a shop adds a team member under 18, that person is in Torvana because their employer put them there, and we handle their data as employee data on the shop's instructions.
We may update this policy. The current version is always at torvana.ai/privacy, with the date it took effect. If a change is material, we will email an owner on your account or show a notice in the app before it takes effect.
